Option to Not Attach Orders when Emailing from the Job Window

We have many users who email from the job window and use it to confirm scheduled jobs. All of those emails, by default, had an order attached to them. You were able to remove the attachment, but that would involve several clicks. With this feature, your company can decide what the default should be.

If you would like to disable our system from automatically attaching orders to job emails, head over to the Company tab and turn that option off. Now you can email from the job window any time, without orders being attached. If you need to include an order for one job but want to keep the default to not include orders, simply select Attachments on the email screen from the job window, and attach the work order.

Minimize the Call Activity Window

Some of our power users utilize the Call Activities window, and are constantly bouncing between screens in ServiceMonster. Now you have the ability to minimize a Call Activity and/or open another Call Activity after capturing basic call information. This will allow you to create an Account and then bring up the Call Activity to add your notes from the call, without losing any information.

Admins Can Edit or Delete Credit Card Payments

If you have credit card processing enabled through Authorize.Net, you will now be able to edit those payment records in ServiceMonster. If you manage payments in Authorize.Net (or other future vendor payment applications) and need to make a change in ServiceMonster to match the credit card provider, admins now have that ability.

Memo and Paid Technician for Commissions

Have you ever applied commissions to an order and wanted to make a note against the commission? Now that is possible! As you apply commissions, you can check the Paid box if you have paid the technician, and leave a note if you need to. This will allow for better commission management.

New Free Form Text Box in Account Record

We’ve noticed that many users have been adding text before or after the phone number on the account record. In an effort to help you keep your data clean and give you more flexibility, we opened up a label as a free form text box. Now you can add any custom label that you may need.

Site Address on Updated New Job Window

When you select an existing account for a job, the site information is now available on the Job Window. This will allow you to verify the site address or change it if necessary.

New Workflow for the New Job Window (Save and Save/Close)

Many users have asked that the data that was on the older version of the Job Window be moved to the newer Job Window. We couldn’t get everything moved over, but instead we’re offering a quick way for users to reference the older Job Window. The older Job Window has the ability to modify the time, set job color, and see the audit tab, whereas the updated Job Window is seen more as a quick add for jobs. Clicking Save and Close will take you back to the schedule. Save will bring the old Job Window into view.

Admin Notes on Job Window

Admin Notes was a feature requested in the ServiceMonster User Group. Now, if you open an existing job and scroll to the bottom of the window, you will find Admin Notes. After you save the note, any users with a Technician security role will not see the note. The rest of the roles, including Super Tech, will be able to see Admin Notes for a job.

Lock Down Payments

After a payment is submitted to Authorize.Net, that record is locked in ServiceMonster to prevent users from editing payment information. ServiceMonster does not edit payment recording using Authorize.Net; this feature will prevent any payment information discrepancies between ServiceMonster and Authorize.Net.

Google Route from Schedule

You can now map your route on Google Maps! On your schedule, simply right-click on the route you’d like to map, select Google Route, and your mapped route will open in a new tab. This feature allows users to plan their daily route.

WebForms now have reCAPTCHA. This feature will help prevent bots from creating leads for WebForms users.

New Avery Print Label Template

When exporting account information to print labels, ServiceMonster offers a couple different options for templates from Avery. We added another template that allows users to print with smaller labels. The new template is “Avery 8167 (1/2″ x 1 3/4″).”

WebForms Uses Google Places to Verify Address Information for Submitted Leads

With Google, ServiceMonster is able to verify that customer-inputted data is consistent and that addresses are received in a format that our database will recognize. When not using a service such a Google Places, leads may occasionally come in with addresses formatted improperly. Moving forward, this will ensure that the information you input into accounts is accurate.

The Availability WebForm Mapped to Selected Routes in ServiceMonster

If you have more than one route and are looking to map specific routes to the leads WebForm or have multiple routes and only want to use one route for WebForms, you now have the option. Navigate to the Marketplace and locate ServiceMonster WebForms. From there, select Configuration, then Settings. In the Settings window, at the bottom of the page, you will be able to adjust your Availability Schedule Settings.

Use Custom Conformation Page After a Lead is Submitted

If you have a “thank you” page or a confirmation page you’d like to use with WebForms, simply add the URL to the WebForms settings page. This was brought to our attention from users who are utilizing Google Analytics and concerned about bounce rates. To Google Analytics, when a visitor leaves your page, that communicates that the user has left. However, with ServiceMonster WebForms, the visitor didn’t leave, they converted: the WebForms page redirected the visitor to a “thank you” page on our server. Using your own custom “thank you” page, however, will enable Google Analytics to keep an accurate record of visitors to your page.

While creating a recurrence, you have the option to record a note within the recurrence. When you convert an occurrence to an order, the note will copy over.

Authorize.Net in ServiceMonster 5

Originally, Authorize.Net was geared towards ServiceMonster Mobile, per user request. With Authorize.Net intermittently unavailable on ServiceMonster Mobile, the web version needed the same functionality. ServiceMonster 5 (web) now integrates with Authorize.Net, which allows you to process payments, checks, and split payments from within ServiceMonster. Information regarding Authorize.Net can be found on the Marketplace tab in ServiceMonster.

Released ServiceMonster WebForms

ServiceMonster now offers three form options you can embed on your website. These forms are linked directly to ServiceMonster, so as your leads fill out the form you are able to manage them. As some of you are aware, WebForms has been in beta. After working with some of ours users, we’re now releasing the final versions of our WebForms at a lower price and with a better user experience.

Lead Source Set to Blank (WebForms)

This feature will set the default option in the “How did you hear about us?” drop-down to blank. In the past, the first option listed was one of your sources, and now it defaults to ‘blank.’ This prevents a lead from submitting information with an incorrect source put in place.

First and Last Name Textboxes

The first version of WebForms had a single field that would capture the lead’s name and create an account in ServiceMonster with that information. However, the first and last names only transferred into the first name box once in ServiceMonster. This created issues within the program as the accounts were being created with improper first and last names.

This option captures name, address, phone number, information on what types of service(s) are requested, and general time preference. This form is designed to capture the basic information needed from a lead who visits your website.

Disable Double-Clicking when Submitting Payments

This bug enabled users to submit multiple payments. On occasion, the browser would force a double-click event, even if the user only clicked the ‘save’ button once. The system now no longer accepts duplicate payments.

‘Undefined’ Customer Lead Source Error Fixed

When navigating to the Marketing tab, there are two links in the upper-left corner of the Dashboard sub-tab. These links provide report-like results. The results for undefined customer lead sources was not pulling any data. This error is now resolved.

For those unfamiliar with these features, ServiceMonster displays accounts that do not have a lead source. When you capture lead sources, your business benefits, because capturing this information helps you funnel your resources into activities that’ll allow you to reach out to potential customers.

Send Emails from Completion Wizard

Utilizing the Completion Wizard to close out orders gives you the option to print or save the invoice as a file. With many business transactions occurring over the internet these days, emailing these invoices out to your customers via the Completion Wizard is now an option.

Warn Users of Duplicate Lead Sources

We fixed the error that occurred when users created lead sources that already existed in your database. Our system now alerts you when you attempt to enter in a duplicate lead source.

Cannot Use Quotes on Job Notes in Updated New Job Window

When creating a job and adding a note to the Job Notes, ServiceMonster was unable to understand how to read quotes and would cause the page to timeout. We’ve resolved this issue.

Email Settings Username Field Only Accepts Valid Email Addresses

Not all email providers use email addresses as the username. When we first built this feature in ServiceMonster, the system would only search for email addresses. We quickly learned that our users often had unique usernames for accessing their email accounts. We lifted the restriction that had our system look solely for the ‘@’ symbol (an indicator of “valid” email address formats).

Job Default Time Isn’t Setting for New Jobs with the New Job Window

Many users create jobs and assign these jobs to routes based off of route defaults. When users would create new jobs using the updated New Job window, the default time wasn’t setting.

To adjust the default job duration, go to your Scheduling tab, open the Schedule Options menu, and select route settings. Select the route you’d like to adjust the default job duration time for.

Dragging a Job in the Web Version of ServiceMonster Removed the Job from the Mobile Version’s Job Board

When dragging a job on the schedule in the web version of ServiceMonster, the technician assigned to that job was being dropped. This was not an issue for Schedule View (Weekly, Daily, Monthly), because the Resource/Route was not being dropped. Rather, this issue was isolated to the Job Board. The Job Board View searches for jobs that are assigned to technicians and then lists the technicians assigned to those jobs. Hence, this was causing issues for our users. We’ve now fixed this bug.
